Privacy Policy

This policy explains how information submitted through the website may be collected, used, protected, and retained for inquiry, membership, verification, compliance, and communication purposes.

Who controls your information

International Human Rights Movement® is the data controller for information submitted through this website and its membership-verification service. Privacy requests may be sent to ihrmpunjab@gmail.com or delivered to 62-B, Shan Arcade, Barkat Market, Garden Town, Lahore, Punjab, Pakistan.

Information we collect

Depending on the service used, we may collect names, parent or guardian names, email addresses, telephone or WhatsApp numbers, location and postal details, profession and education, membership preferences, declarations, complaint or inquiry content, CNIC or passport references, applicant photographs, identity-document images, bar-card images and other documents voluntarily submitted for review.

Our systems also receive limited technical information needed for delivery and security, such as request time, browser type, IP address, hashed security identifiers, rate-limit events and email-delivery status. Public verification searches require an exact membership or document number; the portal does not provide a public name directory.

Why we process information

  • to review membership and volunteer applications, confirm eligibility and communicate decisions;
  • to maintain accurate membership, appointment and public-verification records;
  • to respond to inquiries, complaints, fake-card reports and suspected identity misuse;
  • to protect applicants, members, the public and our systems against fraud, spam and unauthorized access;
  • to meet recordkeeping, dispute, safeguarding or legal obligations; and
  • to operate requested website, email and hosting services.

Submission is voluntary, but required fields are necessary to process the relevant request. A membership application does not guarantee approval.

Documents, verification and public fields

Identity documents and private contact information are used only for authorized review and are not returned by the public verification API. A public verification page may show only fields deliberately enabled for public verification, such as the member’s name, membership number, category, status, approved photograph, designation, region, validity dates and an approved public biography.

Do not send more personal information than the form requests. Never submit another person’s identity document unless you are authorized to do so.

Retention

We retain information only for as long as reasonably needed for the stated purpose, accurate organizational records, dispute handling, security and applicable legal duties. Membership records may be retained for the duration of membership and an appropriate archival period. Unsuccessful or withdrawn applications, identity-document copies, inquiries, delivery queues and security logs should be reviewed periodically and securely deleted or anonymized when no longer needed.

Specific retention may be extended when a record is subject to a complaint, misuse investigation, safeguarding concern, legal hold or unresolved administrative process. Applicants may ask for the retention basis applying to their record.

Browser storage, cookies and analytics

The membership form may save a local draft in the applicant’s browser. Sensitive identity, contact, CNIC or passport, address, bar-registration and upload fields are excluded from that draft. Applicants can clear saved progress from the form at any time. A short-lived security cookie is used to prevent forged form submissions, and the administration portal uses a secure session cookie.

No advertising cookie is required by the current website. If analytics or additional cookies are introduced, this policy and any consent controls should be updated before use.

Sharing and service providers

We do not sell personal information. Access is limited to authorized personnel and service providers who need it for application review, verification, hosting, database operation, email delivery, security, backup or professional advice. Information may also be disclosed where reasonably necessary to protect rights and safety, investigate misuse, comply with lawful process or establish and defend legal claims.

Website hosting, email or security providers may process information in another country. Where cross-border processing occurs, we expect appropriate contractual, access and security safeguards proportionate to the information involved.

Children and youth applicants

Youth applicants should involve a parent or lawful guardian where required by age, capacity or applicable law. We do not knowingly invite children to submit identity documents without appropriate adult involvement. A parent or guardian may contact us to review, correct or request deletion of a child’s information, subject to lawful recordkeeping needs.

Your choices and rights

You may request access to information linked to you, correction of inaccurate details, deletion where retention is no longer justified, restriction of particular processing, withdrawal of consent for future optional processing, or an explanation of a public verification record. We may need to verify identity before acting and may retain limited information where required for security, dispute or legal purposes.

To make a request, email ihrmpunjab@gmail.com with “Privacy Request” in the subject or use the official contact form. Include enough detail to locate the record, but do not send an identity-document copy by ordinary email unless specifically requested through an authorized process.

Security incidents

We use access controls, prepared database queries, rate limits, upload validation, restricted storage, secure session settings and transport-security headers. No system is risk-free. Suspected unauthorized access, disclosure or document exposure should be reported promptly through the official privacy contact so it can be contained, assessed and addressed. Affected people and competent authorities will be notified where required.

Policy changes and version history

Material changes will be published on this page with a revised effective date. Version 2.0, effective 17 July 2026, expanded the policy to explain document handling, verification, retention, browser storage, youth applicants, service providers, cross-border processing, security incidents and applicant rights.
